This policy explains what personal information Plains Equipment Rentals Corp. collects, why, who helps us handle it, and the choices you have. It applies to plainsequipmentrentals.com, rent.plainsequipmentrentals.com, our phone lines, text messages and emails.

Privacy at a glance

Our Privacy Officer, Shawn Neels, answers questions about this policy and about how we and our service providers, including those outside Canada, collect, use, disclose and store personal information.

What we collect

Information you give us

• Quote and contact forms: name, company, email, phone, job site location, the equipment you need, rental dates or term, and any comments. Our trade-in form also lets you upload photos of your equipment.
• Calls: your phone number, the time and length of the call, voicemails, and a recording of the call.
• Texts and messages: text messages with our phone lines, and messages you send us through Facebook or Instagram.
• Newsletter sign-up: your first name and email.
• Rentals: the information needed to set up, deliver, bill and support a rental, such as your company details, billing contact and job site.

Information collected automatically

When you visit our websites, we and our service providers collect technical information. This includes your IP address, browser and device type, approximate location (city and region), the pages you view, how you scroll and click, the ad or website that sent you, and ad click identifiers (for example from Google or Facebook). This is collected with cookies, pixels and similar tools. See “Cookies, analytics and advertising”.

We do not ask for sensitive information such as your social insurance number or banking details through our websites. We do not take payments on our websites.

How we use it

We use personal information to:

• reply to your quote request or question, and send you a quote
• set up, deliver, bill and support your rental
• contact you by phone, text message or email about your request or rental
• send our newsletter and offers, where you have agreed or the law allows (see “Emails and texts”)
• train staff and check the accuracy of quotes, using call recordings
• measure which ads and pages lead to inquiries, and improve our website and ads
• protect our forms from spam and abuse
• meet our legal, tax and accounting obligations

Your consent

When you send us a form, call, text or message us, you agree that we may use your information to respond to you and handle your request. For analytics and advertising, we rely on your consent through this notice, and you can opt out at any time (see “Your choices”).

You can withdraw your consent at any time by contacting our Privacy Officer. If you do, we may not be able to provide a quote or rental. We may still keep some records where the law or a rental agreement requires it.

Emails and texts

• If you ask us for a quote, we may email or text you about it and related offers for up to 6 months.
• If you rent from us, we may send you offers for up to 2 years after your last rental.
• We send our newsletter only to people who sign up for it, or as the law otherwise allows.
• Every marketing email has an unsubscribe link. To stop texts, reply STOP. We act on your request within 10 business days.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Phone calls and call recording

Our websites show call-tracking phone numbers. Each visitor may see a different number, so we can tell which ad or page led to a call. We record the number you called from, the time and length of the call, and the page you were on.

Calls to our phone lines are recorded, and we tell you at the start of each call. We use recordings to get your quote and rental details right, for training, and to resolve disputes. If you prefer not to be recorded, tell us on the call, or email us instead. Recordings are kept only as long as we need them for these purposes.

Cookies, analytics and advertising

We use these tools on our websites:

• Google Analytics: measures website traffic and how visitors use our site. See How Google uses information from sites that use its services.
• Google Ads: measures which ads lead to inquiries, and shows our ads to people who visited our site before (remarketing). Google and other vendors use cookies to show ads based on past visits to our site.
• Meta Pixel and Conversions API (Facebook and Instagram): measures our ads and shows our ads to people who visited our site. Meta may receive a hashed (scrambled) copy of details such as your email or phone to match ad results. Some of this data passes through a server we use on Amazon Web Services before it reaches Meta.
• Microsoft Clarity: on plainsequipmentrentals.com, records how visitors click, scroll and move through pages (session recordings and heatmaps) so we can improve the site. Form fields are masked. Microsoft collects this data with first- and third-party cookies and may also use it for Microsoft Advertising. See the Microsoft Privacy Statement.
• GoHighLevel: shows call-tracking numbers and links a visit to the call or form that follows it.
• HubSpot: website analytics and our newsletter sign-up forms.
• Ahrefs and Cloudflare Web Analytics: count visits and measure site performance.
• Cloudflare Turnstile: checks that forms on rent.plainsequipmentrentals.com are sent by a person, without a puzzle. It processes your IP address and browser details for this purpose only. Its use is subject to the Cloudflare Privacy Policy and the Turnstile Privacy Addendum.
• YouTube videos and Trustindex review widgets: some pages show embedded YouTube videos and Google reviews. These services may set their own cookies.

Your choices

You can opt out of analytics and personalized ads at any time:

• Google ads: My Ad Center
• Google Analytics: the Google Analytics opt-out browser add-on
• Facebook and Instagram ads: Facebook ad preferences
• Many ad companies at once: youradchoices.ca and optout.networkadvertising.org
• Cookies: block or delete cookies in your browser settings, or use your phone’s ad settings to limit ad tracking. Some site features may not work without cookies.
• Emails and texts: use the unsubscribe link, reply STOP, or contact us.
• To ask us to remove your details from the customer lists we use with Google or Meta for advertising, contact our Privacy Officer.

Who we share it with

We share personal information only with:

• our staff and contractors who need it to do their work
• service providers that help us run our business, listed below
• others where the law requires or allows it, for example to comply with a court order, collect a debt, protect our rights or property, or as part of a sale of the business

We do not sell or rent your personal information.

Service providers outside Canada

Some of our service providers collect, store or process personal information outside Canada, mainly in the United States and the European Union. Information held there may be accessed by courts, law enforcement and government agencies of those countries under their laws.

We use these providers for the purposes in this policy only. You can ask our Privacy Officer for written information about our policies and practices for service providers outside Canada, or ask any question about how they collect, use, disclose or store your information.

How long we keep it

We keep personal information only as long as we reasonably need it for business or legal purposes, then we delete it or make it anonymous. Rental and billing records are kept as long as tax and accounting laws require, generally 6 years in Canada.

How we protect it

We use encrypted connections, password-protected systems with limited staff access, and service providers that are required to keep information secure. No system is perfectly secure. If a breach creates a real risk of significant harm, we will report it to the Information and Privacy Commissioner of Alberta and notify the people affected, as the law requires.

Your rights

You can ask to see the personal information we hold about you, and ask us to correct it. Send a written request to our Privacy Officer at [email protected]. We reply within 45 days, or tell you if we need more time, as the law allows. You can also ask for a written copy of our privacy policies and practices.

If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta at oipc.ab.ca or 1-888-878-4044.

Children

Our websites and services are for businesses and adults. We do not knowingly collect information from anyone under 18. If you think we have, contact us and we will delete it.

Changes to this policy

We may update this policy. We will post the new version here with a new “Last updated” date. For significant changes, we will tell our customers directly.
